Secretaries and Administrative Assistants (Except Legal, Medical, and Executive)


Requirements and Skills:

  • Fluent Spanish.

  • Advanced communication skills, verbal and written.

  • Experience working in an office environment. 

  • Compelling computer and office equipment knowledge and management.

  • Professional and reliable. 

  • Independent.

  • Compliance with given rules, regulations, and procedures.


Duties:

  • Answer inbound calls.

  • Direct the callers to the appropriate program area.

  • Keep a call log to track calls amount and their corresponding program areas. 

  • Prepare a monthly report of all calls and walk-ins and provide it to the Supervisor no later than the 3rd of each month. 

  • Send a weekly call list to the Supervisor documenting the number of calls received.

  • Complete the ACCESS Interview spreadsheet and email it to appropriate recipients twice daily at 12:00 pm and 4:30 pm.

  • Prepare a FedEx envelope to mail to Tallahassee.

  • Create new employee IDs and mail them on time.

  • Receive all packages from FedEx, UPS, Office Depot, Staples, and any other carrier. 

  • Determine the packages' owners, and email them to inform them their package has been received and is available in Suite 1129.

  • Assist with employees receiving paper paychecks on a biweekly basis. Ensure they are secured and only provided to the employee or identified representative.

  • Complete any other tasks requested by Supervisor, Communications Director, or Regional Managing Director.


Time Availability: Mon - Fri from 8 AM to 5 PM
